Vision

TrainerBooked is an AI-powered marketing education and automation platform built specifically for personal trainers. It exists because we genuinely care about trainers' success, not just as a service, but as a mission. Most trainers are incredible coaches who never got a lesson in running a business. TrainerBooked fixes that.

What we do: We educate trainers on the business and marketing skills they need to thrive, then set up and automate the exact systems that put those best practices into practice. Trainers don't have to understand every tool. We teach them why it matters, then build it for them and keep it running.

Core philosophy:
  • We're not a vendor. We're a growth partner who genuinely cares about each trainer's success.
  • We teach best practices first so trainers understand what's being built and why.
  • The system is flexible, trainers choose which components they want and can add more over time.
  • Everything we build is designed to follow the trainer if they ever leave their gym. The email list, the GMB profile, the content library, the client data, all of it is theirs.
  • We protect trainers from the business mistakes that kill most new service businesses, legal exposure, pricing too low, no contracts, no insurance.
  • Email is the spine. Every other system: GMB, Instagram, TikTok, ManyChat, can be suspended, banned, or change their rules overnight. The email list is the one asset no platform can revoke. Every system we build feeds the email list first.

Build approach: TrainerBooked is built as a complete, production-ready platform from day one. All systems, the education layer, the brand development component, and the automation backend are designed and built together. Trainers at Lifetime Fitness Boulder are the first clients; the platform is designed to scale nationwide from the start.

Fatal Blind Spots (Act on These First)

These are structural risks in the original design that could cause trainer churn, get trainers fired, or expose them to legal liability if not addressed before launch.

1. The gym anti-solicitation kill switch

Commercial gyms have non-compete and non-solicitation clauses specifically to stop trainers from building independent client lists on company property. Lifetime Fitness, Equinox, and most major chains will fire a trainer for handing out QR cards on the floor, DMing members they met at the squat rack, or running a visibly independent business on gym premises. A single cease-and-desist from Lifetime corporate can nuke the entire Boulder launch cohort.

Required fixes: (a) Add a "Gym Policy Compatibility" pre-screen in onboarding that walks trainers through their contract and flags restrictions. (b) Build a "Gym-Safe Mode" that strips solicitation language from all gym-floor materials and operates strictly within what their contract allows. (c) Position the portable-asset architecture not as a side benefit but as the central pitch, "When you leave (or get let go), everything comes with you." Turn the threat into the value proposition.

2. The nutrition legal landmine

If a trainer writes a meal plan, they may be practicing dietetics without a Registered Dietitian license, a regulatory violation in most states that creates real liability. The original spec allowed for meal plan generation as a trainer service. This must be replaced with a Habit-Only Coaching Framework: trainers coach behaviors, not prescriptions. Daily SMS check-ins for water intake, protein portions, and sleep; clients log their own food via MyFitnessPal or Cronometer; trainers review client-logged data and coach habits. This keeps trainers on the right side of the law while still delivering meaningful nutrition support.

3. The "trainer goes dark" failure mode

Every system in TrainerBooked assumes the trainer keeps feeding the machine content. When a trainer stops filming, and they will, the entire engine (cross-posting, DM triggers, GMB freshness, algorithm signals) quietly dies. The trainer then blames TrainerBooked when results stall, and cancels. Build a trainer-activity heartbeat: if no new social content in 7 days, fire an escalating re-engagement sequence. At 21 days with no activity, route to a human check-in. This protects churn as much as any retention feature.

4. Platform dependency with no contingency

The spec lists Instagram, TikTok, ManyChat, and GMB as required APIs but has no plan for when they suspend, shadowban, or change terms. ManyChat-style auto-DM specifically risks Instagram action-blocks. Each channel needs a documented continuity plan, and trainers must be educated that the email list is the spine precisely because it's the fallback when every other platform acts up.

5. Pricing is backwards for the customer's cash position

A brand-new trainer with zero clients and zero income is being asked for $297-$1,197 upfront, maximum friction at maximum anxiety. See the updated pricing model below for the fix.

Target Customer

Starting with: Personal trainers at Lifetime Fitness Boulder, CO.

  • Brand new to business and marketing, they have their certification and gym contract but zero online presence, no clients outside the gym floor, and no idea how to market themselves
  • Already have (or will have) Instagram and/or TikTok accounts
  • Have no Google My Business profile
  • Want to fill their session schedule, build a waiting list, and eventually diversify their income
  • Tech-averse but willing to learn when it's explained clearly and the value is obvious

Scaling to: Personal trainers at commercial gyms nationwide (Lifetime Fitness, Equinox, LA Fitness, Gold's Gym, etc.), and eventually via gym partnerships (see System 20).

Shared address context: All Boulder trainers share the Lifetime Fitness Boulder physical address for their GMB practitioner profiles. Google allows multiple individual practitioner profiles at one shared address.

The Problem We Solve

Most personal trainers are exceptional at coaching and terrible at business. A trainer with no online presence loses clients to a trainer with a half-decent Google profile and a few good Instagram posts, even if the invisible trainer is objectively better. The gap is entirely a marketing and business education problem, not a talent problem.

Clients also quit for three main reasons: perceived lack of progress, lack of accountability between sessions, and unclear next steps. Most trainers have no system for any of these.

There's also a fourth problem nobody talks about: trainers don't close leads. They can fill the top of the funnel perfectly and still leak every lead because they have no sales system, no follow-up sequence, and no way to track where a prospect went. TrainerBooked addresses all four problems.
